ATLAS Email Communications Policy

Email Communications Policy

Effective date: August 30, 2026
Organisation: ATLAS – Active Teens Leading and Succeeding
Contact: info@activeteens.org

This policy describes the email sent from activeteens.org and the safeguards we use to support relevant, expected, and secure communication.

1. Messages we send

  • Direct replies to people who contact us.
  • Workshop, event, registration, and participation confirmations or updates.
  • Administrative communication with participants, guardians, volunteers, partners, funders, and service providers.
  • Account, security, operational, or project-related notices.

Our ordinary email use is low-volume and primarily transactional or person-to-person. We do not use purchased, rented, scraped, or third-party recipient lists, and we do not operate unsolicited bulk or cold-email campaigns.

2. Who receives email

Recipients normally have contacted ATLAS, registered for or participated in an activity, have an existing project or organisational relationship with us, or have otherwise requested or agreed to receive the relevant communication. Only authenticated mailbox users may send through our mail system; it is not configured as an open relay.

3. Opting out

You can ask us to stop nonessential email by replying to the message or writing to info@activeteens.org. We will honour the request promptly. Essential administrative messages connected with an active registration, project, account, legal duty, or safety matter may still be sent where necessary.

4. Bounces and complaints

We monitor delivery results and act on bounce and complaint information from our email providers. Addresses that hard-bounce, generate a complaint, or are otherwise unsafe to contact are removed from further nonessential sending or added to an appropriate suppression list. Repeated sending to invalid or complaining recipients is not permitted.

5. Authentication and security

Our domain uses SPF, DKIM, DMARC, and a custom return-path domain. Outbound delivery may be relayed through Amazon SES using authenticated SMTP over TLS. Credentials are restricted to authorised systems and users. We do not use engagement tracking for ordinary person-to-person correspondence.

6. Reporting unwanted or suspicious email

To report abuse, impersonation, or an unwanted message involving activeteens.org, contact abuse@activeteens.org. Delivery problems may be reported to postmaster@activeteens.org. Please include the message headers when possible.

7. Privacy

Information received through email is handled according to our Privacy Policy. We do not sell or rent recipient information.
