This policy explains how ATLAS handles personal data when you visit activeteens.org, contact us, or take part in our activities and projects.

1. Data we may collect

  • Contact details and the contents of messages you voluntarily send to us.
  • Registration, participation, or project information that you provide through an official ATLAS form or communication channel.
  • Basic technical and security logs, such as IP address, date and time, requested page, and browser information.
  • Communication records needed to answer inquiries and administer activities.

2. How we use data

We use personal data to answer inquiries, organise workshops and youth projects, manage registrations, communicate with participants, guardians, partners and service providers, maintain website and email security, prevent abuse, and meet applicable legal or funder requirements.

3. Sharing and service providers

We share data only when it is reasonably necessary for an activity or communication. This can include hosting and email providers, project partners, funders, venues, travel or service providers, and public authorities where required by law. Our email delivery infrastructure may use Amazon Web Services, including Amazon SES. We do not sell or rent personal data or recipient lists.

4. External services

Some pages may include or link to third-party services, such as Instagram, Google Drive, or a separate project registration website. When you load or use those services, the provider may receive technical data and may apply its own privacy policy. External links are outside the control of this website.

5. Retention

We keep data only for as long as it is needed for the relevant inquiry, activity, project administration, security, accounting, legal, or funder requirement. Limited suppression or opt-out information may be retained where necessary to ensure that a request not to be contacted is respected.

6. Young people and sensitive information

Our work often involves young people. We seek to collect only information that is necessary for an activity and use appropriate official channels for participant or guardian communications. Please do not send sensitive personal information through ordinary email unless we specifically request it and provide suitable instructions.

7. Security

We use reasonable technical and organisational safeguards, including authenticated access, encrypted connections where supported, and email authentication controls such as SPF, DKIM, and DMARC. No internet service can guarantee absolute security.

8. Your choices and rights

Depending on applicable law, you may ask for access to, correction of, deletion of, restriction of, or an objection to the handling of your personal data, and may withdraw consent where processing is based on consent. You may also complain to the relevant data protection authority.

To make a privacy request, email info@activeteens.org and describe the request clearly. We may need to verify your identity before acting on it.

9. Changes to this policy

We may update this policy when our activities, services, or legal obligations change. The effective date at the top shows the latest revision.
